Update: We just reused this exact setup for another Elsa birthday this year—and it was even easier the second time. Here’s exactly what we reused, what worked even better the second time, and what I’d buy again.

❄️ Our Elsa Birthday (Year 2 — And Why I’ll Never Start Over Again)

We hosted my younger daughter’s birthday on a Saturday afternoon, right in the middle of a busy week.

By Friday night, my husband and I were completely exhausted — the kind of tired where you fully intend to clean and prep after the kids go to bed… and then just don’t.

So not much got done.

Saturday morning didn’t slow down either — we had t-ball practice, the usual weekend chaos, and somehow still needed to pull off a birthday party a few hours later.

And this is exactly where I realized something:

I didn’t need more time. I needed a system.

Because somehow… we pulled everything together fast.
And it felt so much easier than past birthdays.

The reason it worked (and what I’ll keep doing)

This was actually our second Elsa/Frozen birthday in a row.

When I asked my daughter what she wanted this year, she said:

“I just want a big cake with Elsa on it… and Sven… and Anna… and Olaf… and Kristoff.”

So we leaned all the way in.

But the difference this time?

  • I already knew what worked
  • I already had most of what we needed
  • I wasn’t starting from scratch

At this point, it honestly feels like I have a budget birthday system — small, repeatable things that create a big impact without reinventing everything every year.

What we reused (and why it matters)

This is where everything got easier:

And yes — I will choose plastic tablecloths every time for kids’ parties.

I’m all for sustainability… but with crafts, glue, frosting, and chaos?

No thank you.

🎂 The cake (messy, chaotic, and perfect anyway)

My mom found a cake idea on Pinterest and ran with it — she baked both a round cake and a 13×9, and we assembled everything at my house.

It was messy.
It was chaotic.
There was frosting everywhere.

And honestly… it was one of my favorite parts of the day.

We were laughing, figuring it out as we went, and my daughters were right there in the middle of it.

The little birthday flag on the cake?

My older daughter made it for her sister, who insisted on being called “Elsa” all day long.

Was the cake perfect? Nope!
Was it memorable? 100%.

The real-life moment (and the save)

In the past, I would have made my own cake toppers — printing characters, laminating them, attaching toothpicks…

This year?

I ran out of time.

So I ordered a set of Frozen cupcake toppers on Amazon.

And they showed up literally as we were decorating the cake — along with matching paper goods and cutlery.

Not aesthetic perfection, but exactly what we needed.

And honestly… that’s the shift.

👗 Money absolutely well spent–and then some

The Elsa dresses.

Both of my daughters wear them constantly — not just for birthdays, but for everyday play.

I’ve washed them over and over on a gentle cycle, and they’ve held up so much better than I expected.

At this point, they’ve been worth the investment and then some.

If you’re debating it — I would absolutely do it again.

Both dresses linked below come with the perfect Elsa accessories (crown, hair piece, gloves, etc.!)

🛍️ Everything We Used for This Elsa Party (and reused)

Everything here is either reusable, multi-purpose, or something I’ve already used more than once.

What I believe now

I used to think birthday parties had to be perfectly curated.

Now I don’t.

Because when the day was over, the only thing that actually mattered was this:

  • my daughter felt celebrated
  • her family and friends were all together
  • and we made memories she’ll talk about for years

Not the favors.
Not the decorations.
Not the perfectly styled setup.

Just the feeling of the day.

And that’s something I can recreate again and again — without starting from scratch.

The ONLY 3 Things You Actually Need for a Magical Birthday

If you’re short on time or energy, these are the only things I would buy again — everything else was extra:

1. Reusable Birthday Banner
This instantly made the space feel decorated with almost no effort. I’ve reused it multiple times, and it still looks great.

2. Flameless Candles (for that “princess glow”)
These created the entire vibe — cozy, magical, and safe for kids running around.

3. Simple Table Setup (tablecloth + cupcake stand)
This pulled everything together and made even store-bought treats feel special.

If you only do these three things, the party will still feel magical — I promise.

Most of these were under $20 and made the biggest difference — I’d start here before anything else.

• Entertain kids with zero hired entertainment

Unpopular opinion: Traditions trump excess. Every time.

Birthdays don’t have to cost a fortune or be perfectly curated to be meaningful. Does the five-year-old  birthday girl care about the napkins that match the balloons that match the birthday dress? Not so much.

But let’s be real– parents care. In this age where everything is photographed and shared, an aesthetic celebration can feel like an expression of love and care.

The best news? It doesn’t have to mean overspending.

Growing up, our birthdays were simple. We chose our favorite dinner and used the same “Special Day” plate every year. As a summer baby, my parties were backyard barbecues where I got to pick out special snacks and juice boxes at the grocery store–and life was good

Those are the memories that have stayed with me 36 years. They look nothing like many of the super-curated birthday parties that fill my millennial algorithm today.

So when my daughter turned five and I started to plan her family birthday party, I knew I wanted to continue to create magical memories rooted in simplicity, tradition, and a realistic budget.

Our daughter wanted a pretty, pink, princess birthday. Here’s exactly how I did it.

Decor that Made the Biggest Impact

Flameless Tapered Candles for a Royal Glow: Sophisticated & Safe

We live in a relatively small house, so fitting 20 guests comfortably takes intention. Since our dining room and kitchen are the main gathering spaces, that’s where I focus the decor.

Because we celebrate with three generations (including six kids under five), safety matters. Flameless tapered candles add instant sophistication to a princess party — without the stress of little hands reaching across the table.

They give that soft, magical glow while still being completely kid-friendly.

Reusable Birthday Banner

For cake time, we’ve used the same birthday banner for years. It photographs beautifully, is super easy to assemble, and folds up for easy storage in a gallon bag.

Added bonus: “Happy” and “Birthday” are on separate ribbons, allowing you to layer them or extend them across a longer surface.

My girls love hanging it up for each of their birthdays–and honestly, so do I.

Tradition > disposable decor.

Rainbow Ombre Tablecloth & Coordinated Colors

To keep the princess aesthetic on a budget, I chose rainbow ombre tablecloths that pulled everything together– pink utensils, plates, cups, and mint green tapered candles

My grandmother always used decorative napkin holders to liven up her chandeliers. I already owned these fun spring napkin holders and they brought some joy and color to the party.

The colors played off each other for a whimsical feel without needing over-the-top decorations.

The reusable ombre tablecloth was wiped clean after crafts and still looks new—we’ll use it again next year.Reusable and mess-free = stress free.

Cake time!

Royal Cupcakes

The week before the party, the birthday girl told me she wanted cupcakes instead of a traditional birthday cake. The solution? Do both!

To give the table some height and drama, I chose a castle cupcake stand that instantly elevated the tablescape. It was another super-easy to assemble and reusable party option that stores flat for next year.

The stand would have been beautiful on its own, but I added some glittery princess cupcake toppers and pink foil cupcake wrappers for a little extra sparkle. Simple details– big impact.

Cake Fit for a Princess

One of our favorite traditions is baking a birthday cake together for every celebration. The girls love turning a simple white cake into whatever color fits the theme.

This year, a few drops of organic red food coloring transformed the cake into the perfect shade of pink. We kept the frosting classic white and topped it with sparkly sugar sprinkles for a whimsical finish.

The cake topper was a simple glittery pink castle — sturdy enough to reuse for years. Add a pink bejeweled number 5 candle and it was an instant wow factor.

Princess Play: Letting Imagination Lead

When it comes to entertaining kids at a family birthday party, it’s easy to feel pressure to organize games or crafts that will either be a pricey budget hit or a complete mess.

But here’s what I’ve learned: give kids access to imaginative toys and, in this case, costumes– and they’ll entertain themselves for hours.

As part of the party prep, I organized the girls’ princess-themed costume organizer they received for Christmas, filled with princess dresses, costume shoes, hair accessories, crowns, and wands. Everything was set up and within easy reach.

The kids immediately gravitated toward it and spent the entire party swapping costumes and creating their own royal storylines.

I also set out a few open-ended toys– an ice cream set, blocks, magnetic tiles, and trucks– and those were in constant rotation, too. Some of the boys tried on crowns. Some of the girls built towers. It was exactly what play should be.

No organized games.

No hired princesses.

No elaborate activities.

Just imagination and family time.

Keeping the costumes and select toys visible and accessible made all the difference. Instead of asking for help or waiting for instructions, they could choose, change, and create freely.

It reminded me that sometimes the best “activity” is simply giving children the time and space to play.

And bonus? We already owned everything.

The magic wasn’t in how much we bought. It was in how fully we showed up.

If you’re planning a birthday and feeling the pressure to do more, spend more, or impress more — you don’t have to. Start with what you have. Add one or two intentional details. Let the kids play. The magic will take care of itself.

I’ll link a few of our favorite pieces at the end of this post in case you’d like to recreate something similar. But truly, use what you already have. That’s where the magic lives.
